Introduction
These Booking Terms & Conditions, along with any other written information we provide to you before confirming your booking, form the basis of your contract with Barely Wed Travel ("we", "us", "our"). Barely Wed Travel is a romance travel agency offering tailor-made travel experiences, and we act as a booking agent for third-party travel suppliers, such as airlines, hotels, resorts, activity operators, and transfer providers. By making a booking with us, you agree to be bound by these Terms & Conditions, including those of our third-party suppliers.
Role of Barely Wed Travel
We specialise in booking bespoke honeymoons, group destination wedding travel, anniversary getaways, and proposal trips. We do not own or operate any travel services, nor do we provide direct provision of travel-related services. When you book with us, we act solely as an intermediary between you and the suppliers. Once your booking is confirmed, your contract is with the third-party supplier(s), not Barely Wed Travel. The Terms & Conditions of the supplier(s) will apply, and we are not liable for the provision, quality, or performance of those services.
- Barely Wed Travel provides advisory services to help you plan and book your bespoke travel experiences. Our role is to offer recommendations and advice based on your preferences, requirements, and budget. We will provide you with tailored options that we believe align with your needs.
- While we strive to provide the best possible advice, it is important to note that the products and services we recommend (e.g., hotels, activities, destinations) are based on information available at the time of booking and the details you provide to us. We make recommendations based on our professional knowledge, but these may not always align perfectly with your expectations or preferences once experienced.
- If the recommended product or service does not meet your expectations, or if the actual experience does not align with the information provided, Barely Wed Travel is not liable. We do not guarantee that any supplier’s product will meet your specific desires or standards. Each supplier operates independently, and we are not responsible for their performance or failure to meet expectations.
- We encourage you to carefully review all recommendations, ask questions, and verify details directly with the supplier where necessary. It is your responsibility to ensure that the service you book matches your expectations and requirements. If there are any doubts, please discuss them with us before final confirmation.
Booking Process
- All bookings are subject to availability and acceptance by the supplier(s).
- By providing us with your booking details (e.g., names, travel dates, special requests), you confirm that you are authorised to act on behalf of all members of your party. It is your responsibility to ensure all information is accurate.
- Errors or changes made after confirmation may incur additional fees and could affect the availability of your booking. We reserve the right to adjust prices if any information provided by you was incorrect.
Group Bookings & Responsibilities
- For group bookings, the lead traveller (the person making the booking) assumes responsibility for ensuring that all participants are aware of and agree to these Terms & Conditions. This includes but is not limited to the supplier's cancellation policies, insurance requirements, and any group-specific terms.
- We are not responsible for coordinating logistics between group members, nor can we manage group dynamics. We strongly recommend that large groups appoint a designated point of contact for communication purposes.
- For group bookings, strict deadlines for deposits and final payments may apply. Failure to meet these deadlines could result in a loss of availability or changes in pricing.
Surprise Trips
- If you are booking a surprise trip (e.g., proposal or surprise anniversary trip), it is essential that you inform us at the time of the enquiry.
- While we will assist in planning memorable experiences, we are not responsible for the success or failure of surprise events, including proposals or special moments that are impacted by weather, supplier issues, or any other circumstances beyond our control.
Payment & Cancellation
- A deposit or full payment will be required at the time of booking, depending on the specific supplier(s). Payment schedules will be detailed during the booking process.
- All payments must be made via secure debit/credit card transactions. Under no circumstances should payments be made through PayPal, cash, or cheque.
- Failure to make payment by the due date may result in the cancellation of your booking, and you may be subject to the cancellation terms of the supplier(s), which can include charges up to 100% of the booking value.
Amendments, Cancellations & Refunds
- All cancellation or amendment requests must be submitted in writing. Amendments are subject to availability and the policies of the relevant supplier(s).
- Cancellation charges may apply as per the supplier’s terms, and you may be charged additional fees by Barely Wed Travel for processing amendments.
- Refunds are governed by the supplier's policies. Barely Wed Travel is not responsible for delays or non-refunds arising from non-refundable or pre-paid bookings (e.g., airlines, cruise lines).
- Administrative Fees: For cancellation processing, an administrative fee of £50 will apply per booking. For booking amendments, an administration fee of £15 will apply.
Insurance Requirements
- You are strongly advised to take out comprehensive travel insurance. This should cover, but is not limited to, cancellation, medical expenses, loss or damage to baggage, personal belongings, repatriation, and travel disruption.
- Certain suppliers may require proof of adequate insurance coverage before confirming your booking.
Coverage Requirements
Your holiday insurance should ideally cover, but is not limited to, the following:
- Cancellation: Protection against losing money if you need to cancel or cut short your holiday due to unforeseen circumstances (e.g., medical emergency, injury, family illness, or death).
- Medical Expenses: Coverage for emergency medical costs, hospital stays, and repatriation should you become ill or injured abroad.
- Baggage and Personal Belongings: Coverage for the loss, theft, or damage of baggage, personal items, and valuables.
- Travel Delays: Coverage for delays or cancellations of flights, transfers, or accommodation.
- Personal Liability: Protection in case you are legally responsible for injury, death, or damage to third-party property during your trip.
Exclusions
While travel insurance provides comprehensive coverage, it is important to read the policy carefully and understand any exclusions or limitations.
Impact of Not Having Insurance
Without the correct insurance, you could be exposed to significant financial risks in the event of illness, accidents, cancellations, or unforeseen circumstances. This can include medical bills, trip cancellation fees, lost baggage costs, and more.
Financial Protection
- When booking flight-inclusive package holidays, financial protection is provided by the relevant ATOL holder. If applicable, you will receive an ATOL certificate with your booking.
- If you book individual services (e.g., flight or hotel) rather than a package, financial protection may not apply.
- If additional services are booked later, they may not form part of a linked travel arrangement under the Package Travel and Linked Travel Arrangements Regulations 2018. You will be informed accordingly.
Passport, Visa & Health Requirements
- It is your responsibility to ensure you and all members of your party comply with all passport, visa, and health requirements for your trip.
- We can provide general guidance, but the final responsibility for meeting these requirements rests with the traveller.
- Failure to comply with these requirements may result in denied boarding or entry, and no refunds will be provided in such circumstances.
Travel Documents
- Travel documents (e.g., flight tickets, hotel confirmations) will typically be issued via email unless requested otherwise.
- Barely Wed Travel is not responsible for delays, loss, or errors in the delivery of documents by post or courier, unless due to our own negligence.
- Upon receipt of your documents, it is your responsibility to check for accuracy and notify us immediately of any discrepancies.
Administrative Charges
The following administrative charges apply to the booking process and may be incurred in addition to any supplier charges:
- Amendment Fee: £15 per booking (for confirmed bookings only)
- Cancellation Processing: £50 per booking
- Group Coordination: £100 per booking (discretionary)
- Special Delivery of Documents: At cost (courier/post)
Commission Charges
- Barely Wed Travel may apply a discretionary commission as part of the total cost of any package or service. This commission is factored into the sale price and is designed to cover the services provided in arranging and coordinating your bespoke travel experience. The amount of the commission is at our discretion and will not be disclosed as a separate fee.
- In addition to any commission we apply, Barely Wed Travel may receive a commission or referral fee from third-party suppliers (e.g., hotels, airlines, activity providers) for referring your business. This commission is paid directly to Barely Wed Travel by the supplier and is typically a percentage of the value of the services booked. This commission is not an additional cost to you and does not impact the pricing of your travel arrangements.
- While we do not disclose the specific commission amounts, we assure you that all costs associated with your booking will be presented in the final price and are inclusive of any commissions applied. If you have any questions regarding commission, and pricing of our services, please do not hesitate to discuss it with us at any point.
Non-Refundable and Non-Amendable Elements of Your Booking
- Some elements of your booking, including but not limited to flights, hotels, activities, and special packages, may be non-refundable under the supplier’s terms. Once confirmed, these services cannot be cancelled or refunded, unless explicitly stated otherwise by the supplier. It is your responsibility to fully understand the refund and amendment policies for these services at the time of booking.
- Certain services may also be non-amendable, meaning that you cannot alter the dates, names, or other details once booked. Any changes to these services, including rescheduling or rebooking, may incur additional fees or be outright impossible.
- When booking with Low-Cost Carriers (LCCs), it is important to note that LCC flights are typically non-refundable and are subject to high amendment fees. If you need to amend or cancel an LCC flight, fees can be substantial and often exceed the original ticket price. Please ensure you are fully aware of these terms before confirming your booking.
Complaints
- As your contract is with the supplier, you should first contact them directly to resolve any complaints or disputes. If your complaint is unresolved, and the supplier is an ABTA member, you may be able to use ABTA’s dispute resolution services.
- EU residents may also use the Online Dispute Resolution platform: ec.europa.eu/consumers/odr.
